    Job Description
    MAJOR GOALS AND PURPOSE
    The Human Resources Assistant will provide administrative support to the Human Resources Department in the areas of benefit administration, training and development, recruiting, corporate policies and procedures, personnel, onboarding, service recognition, social and philanthropic activities and any other areas as required.  Detailed coordination of Human Resource activities and confidentiality in all areas is essential and must be handled with professionalism.
     
    ESSENTIAL ACTIVITIES
    • Maintain Human Resources database (Viewpoint) for all employees including personal information, salary history, benefit history, service recognition, employee certifications, etc.
    • Coordinate onboarding activities/checklist, i.e., schedule orientations, prepare new user template for IT and ensure items are complete and operational, coordinate with supervisors to ensure the appropriate software/hardware is provided, put together new welcome packet, work with Office Manager to ensure office is set up, set up new user profiles in Viewpoint and LMS.
    • Coordinate all recruiting activities as directed by the Senior Talent Acquisition Specialist.  This includes registration of career fairs, job postings on the corporate website via BirdDog network, and any other sites as directed.
    • Provide administrative support and coordination to the Senior Talent Acquisition Specialist in benefit administration, open enrollments, and wellness administration.
    • Provide administrative support to Workforce Manager, including onboarding activities, orientation, etc.
    • Electronically maintain all Human Resources department files, including personnel files with the utmost confidentiality.  Filing must be kept up-to-date to ensure readiness to access data is available.
    • Coordinate and schedule all corporate training initiatives, i.e., in house educational seminars, monthly training such as PE training and PM training, Superintendent/Field training, and individual training.  Coordination includes registration and payment of educational items.
    • Participate in social and corporate philanthropic activities as needed.
    • Provide administrative support for the Learning Management System (LMS) as directed by Human Resources Director.
    • Partner with Human Resources Director and Workforce Manager to ensure EEO administration is current and all projects have the legal required posters and postings.  Coordinate with Safety Assistant to ensure new superintendent packages have all the required documentation.
    • Assist in the administration, tracking, and follow up for all of the deadlines and requirements to comply with our affirmative action plan and Executive Order 11246 (the required 16 steps).
    • Provide administrative support to the Diversity Manager including:  scheduling and following up with school districts and union representatives for visits to the Career Resource Center, scheduling and following up with contractors for estimating outreach meetings, running and reviewing monthly workforce reports for Tarlton projects within the GPTS system, contacting subs for missing information within GPTS, running monthly workforce reports and updating information within Viewpoint, preparing correspondence for subcontractors to report workforce numbers throughout the project, running monthly contract reports for Tarlton projects within GPTS system.
    • Responsible for coordinating all travel arrangements (airfare, car rental, hotel, etc.) associated with conferences and training for Human Resources department, if necessary.
    • Track office and field employees for service recognition programs.  Coordinate the details for service recognition awards.
    • Maintain employee webstore and superintendent field shirts, hats, etc.
    • Send HR/training related updates to the Communications Manager for the Tarlton Scoop.
    • Provide back up support for the receptionist.
    • Audit HR process, files, and database to ensure accuracy and eliminate errors.
    • Help to maintain calendars for the Human Resources department (Human Resources Director, Senior Talent Acquisition Specialist, Diversity Manager, Workforce Manager).
    • Filing and scanning.
    • Ordering lunches for meetings, etc.
    • Other duties as assigned by the Human Resources Director.

    PREREQUISITES (i.e., Education, Experience)
    • Minimum of three to five years administrative experience; experience in human resources required.
    • Proficient in Microsoft products, learning management system experience a plus.
    • Bilingual in English and Spanish a plus, but not required.
    • Excellent customer service and communication skills.
    • The ability to multi-task and prioritize.
    • Associates degree in business or related field preferred but not required.
